Construction daily log template, filled in by AI

A simple daily log format and the voice-note prompt that writes it for you on the drive home.

BuildFlow AI · October 19, 2026 · About a 6-minute read

A daily log only works if it actually gets written. A fixed format plus a one-minute voice note gets it done every day, and the AI does the typing.

Not legal advice. This article is general business information. Contract, home improvement, lien and billing rules vary by state and sometimes by city. Have a local construction attorney review your contract, your change order form and any clause language before you rely on them.

01Why keep a daily log at all

A daily log is the job's memory. When a client asks why the schedule moved, when a sub says they were never told, or when a change was requested in the driveway, the log is where the answer lives. The problem is time: at the end of a long day, nobody wants to type a report.

The fix is a short, fixed format and a voice note. You talk for a minute on the drive; an AI assistant turns it into the log.

02The daily log template

Copy this into your notes app, a shared doc or your project management software.

DAILY LOG · [Job name] · [Date] Weather: [ ] On site: [company / trade / headcount] Work completed: [ ] Deliveries / materials: [ ] Inspections / visitors: [ ] Delays or issues: [what, why, who's affected] Client requests (possible change orders): [ ] Safety notes: [ ] Photos: [count / where saved] Tomorrow: [ ]

The "client requests" line is the one that pays for itself. Every item there gets written up before it gets built; see change order vs. scope creep.

03The voice-note prompt

Turn this voice note into a daily log using exactly these sections: Weather, On site, Work completed, Deliveries, Inspections/visitors, Delays or issues, Client requests (possible change orders), Safety notes, Tomorrow. Use only what I say. If a section wasn't mentioned, write "none noted". Keep it factual, no opinions. Job: [name] Date: [date] Note: [paste or dictate]

Read it before you save it. If it added anything you didn't say, delete it.

04Turn a week of logs into a client update

Here are this week's daily logs. Write a short client update: Done this week, Next week, Decisions we need from you (with dates), Open change orders (number and status). Under 200 words. Leave out internal notes about crew or subs. [paste logs]

The full format for that email is in the remodeling client update email template.

05Habits that keep the log useful

  • Same time every day. Before you leave the site or on the drive home.
  • Photos with every issue. Note where they're saved.
  • One place. If you use project management software, paste the log there so it stays with the job.
  • Facts, not blame. Write what happened and what's next. Logs can get read by clients, subs and sometimes attorneys.

06FAQ

Does a daily log replace a change order?

No. It records that a request came up. The change still needs a written, approved change order before work starts. Start with the change order template.

Is a voice-note log good enough for records?

Requirements vary by contract and state. Ask your attorney what your contracts need you to document.

Less typing. Better records.
